Executive Assistant (Remote)

Reporting to the Chief Operating Officer, the Executive Assistant is accountable for providing full scope of support. You’ll be managing the day-to-day for the COO, show off your amazing project management, planning and research skills.
Employment Type: Remote, Full-Time (interested applicants from outside Canada are encouraged to apply)
Responsibilities:
- Be the main point of contact for the COO.
- Manage the COO calendar scheduling and prioritizing meetings, appointments, and commitments to maximize efficiency and productivity.
- Efficiently manage the flow of information, specifically email management, by vetting and prioritizing them for a timely and accurate response for the COO.
- Manage sensitive and confidential information with exceptional discretion and the highest degree of professionalism.
- Draft letters, emails, meeting agendas, reports, and proofreading of all work to ensure accuracy.
- Track and complete expense reports either weekly or monthly.
- Conduct research, prepare and edit communication material, including reports, correspondence, PowerPoint presentations, assessments, and other documents, if necessary.
- Record minutes at various meetings and distribute or file them accordingly.
- Coordinate all travel arrangements and logistics, including air travel bookings, accommodations, itineraries, and transportation for the COO.
- Participate in meetings as needed on behalf of the COO and provide updates if necessary.
- Carry out miscellaneous duties as required.
Required skills & experience:
- At least 2-3 years of experience in an executive assistant role or similar role.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- Excellent interpersonal, verbal, and written communication skills with the ability to interact professionally with individuals at all levels.
- Ability to speak Spanish or French is an asset.
- Strong nature to take initiative and be resourceful, take full responsibility for tasks and able to work with tight deadlines.
- Exceptional attention to detail and precision, strong ability to work collaboratively and independently, and professionalism under pressure.
- Flexible and adaptable, able to adjust to changing priorities and workflows, with a proactive approach to problem-solving and decision-making.
- Experience with Social Media management particularly LinkedIn is an asset.
