About the Role
As an Administrative Assistant at IVEY Group, you will play a crucial role in supporting the immigration services department by assisting with administrative tasks, document preparation, and client communication. Your attention to detail and ability to manage multiple tasks will contribute to the efficient processing of immigration cases. The ideal candidate will have a basic understanding of Canadian immigration laws and regulations, excellent organizational skills, and a commitment to delivering high-quality service.
Key Responsibilities
- Support the Work Permit Team with the preparation, review, and organization of immigration application packages.
- Maintain and organize client status documents and records.
- Monitor client status documents and expiry dates.
- Ensure up to date client information on CaseEasy.
- Prepare accurately and track client proposals and related documentation.
- Assist caseworkers with the preparation of retainer agreements.
- Coordinate with internal teams to support timely billing.
- Follow up on client outstanding balances.
- Reconciliation of immigration only services proposals.
- Provide timely updates on immigration requests.
- Perform other administrative duties as assigned.
Qualifications
- Strong written and verbal communication skills in English; French is an asset.
- Previous administrative work experience, ideally in international recruitment or immigration.
- Background in finance or accounting is considered an asset but is not required.
- Ability to manage multiple tasks, prioritize effectively, and meet deadlines.
- Excellent communication skills, both written and verbal.
- Strong organizational skills with a keen attention to detail.
- Strong customer service orientation.
- Proficient with database management and Microsoft Office Suite.
- Strong Microsoft Excel and spreadsheet skills, including accurate data entry, tracking, and reporting.
- Relevant experience using QuickBooks or similar accounting software and comfortable with using software..
- Dedication to keeping information confidential.
- Understanding immigration laws and procedures is beneficial.
